Last updated: 22 September 2026
This Privacy Policy explains how personal data are processed when you visit miceitaly.com, contact us, or submit an enquiry through the website. It is provided in accordance with Regulation (EU) 2016/679 (the “GDPR”) and applicable Italian data protection law.
1. Data Controller
The data controller is [[LEGAL NAME / BUSINESS NAME]], trading under the name MICE Italy, with registered or business address at [[FULL POSTAL ADDRESS]].
Privacy contact: info@miceitaly.com
2. Personal data we may process
2.1 Data you provide directly
When you contact us by email or through the website enquiry form, we may process information such as your name, email address, company or organisation information where provided, and the information contained in your event brief or message. This may include destination preferences, approximate dates, group size and other information necessary to understand and respond to your request.
2.2 Technical and browsing data
When you visit the website, the systems used to operate and secure the site may process technical information generated by normal internet communications, which may include IP address, browser and device information, requested pages, date and time of access, response status and similar technical data.
2.3 Cookie preference data
If the cookie preference banner is enabled, the website stores a strictly necessary first-party cookie recording your privacy choices. The cookie is used solely to remember whether optional analytics or marketing technologies have been accepted or rejected.
3. Purposes and legal bases
| Purpose | Legal basis |
|---|---|
| Responding to enquiries and preparing proposals requested by you. | Article 6(1)(b) GDPR — processing necessary to take steps at your request before entering into a contract, or to perform a contract where applicable. |
| Operating, maintaining and protecting the website and preventing abuse or security incidents. | Article 6(1)(f) GDPR — our legitimate interest in providing a secure, reliable website, where that interest is not overridden by your rights and freedoms. |
| Complying with legal, accounting, tax or regulatory obligations where applicable. | Article 6(1)(c) GDPR — compliance with a legal obligation. |
| Using optional analytics or marketing technologies, if introduced in the future. | Article 6(1)(a) GDPR — your consent, together with the applicable rules on storing or accessing information on your device. Optional technologies remain disabled until consent is given. |
4. Whether providing data is mandatory
Providing the information requested in the contact form is voluntary. However, without the information needed to understand and respond to your enquiry, we may be unable to provide the requested information or prepare a proposal.
5. Recipients and service providers
Personal data may be processed by authorised persons working for or with MICE Italy and by service providers that support the operation of the website, hosting, communications, email, security and other business functions. Where required by law, such providers act as processors under Article 28 GDPR.
Personal data may also be disclosed to public authorities, courts or other parties where required by applicable law or where necessary for the establishment, exercise or defence of legal claims.
6. International data transfers
Some technology or communications providers may process personal data outside the European Economic Area. Where this occurs, transfers are carried out using a valid mechanism under Chapter V of the GDPR, such as an adequacy decision or appropriate contractual safeguards, where required.
7. Data retention
Enquiry and correspondence data are kept only for as long as reasonably necessary to respond to the request and manage the related business relationship. As an internal retention rule, enquiries that do not result in an ongoing contractual relationship should normally be deleted or anonymised no later than 24 months after the last substantive contact, unless a longer period is necessary to establish, exercise or defend legal claims.
If an enquiry results in a contract, relevant records may be retained for the period required by applicable civil, tax, accounting or other legal obligations. Technical security logs are retained only for the period reasonably necessary for security, troubleshooting and abuse prevention.
Cookie preference information is stored for up to 180 days, after which the website may ask you to make a new choice, unless the preference is reset earlier or the relevant processing changes substantially.
8. Cookies and similar technologies
At the date of this Policy, MICE Italy does not intentionally deploy optional analytics or marketing trackers through the consent system. The site may use strictly necessary technical technologies, including the cookie used to remember your consent preferences.
If analytics, advertising pixels or other optional tracking technologies are added later, they will be kept disabled until the required consent has been obtained and the Cookie Policy will be updated accordingly.
For more information, see our Cookie Policy.
9. External links and third-party services
The website may contain links to third-party websites or services, such as messaging or social platforms. If you choose to follow an external link, the third party may process your data under its own privacy terms. MICE Italy does not control the processing carried out independently by those third parties.
10. Your rights
Subject to the conditions laid down by the GDPR, you may have the right to:
- obtain confirmation as to whether personal data concerning you are being processed and access those data;
- request rectification of inaccurate or incomplete personal data;
- request erasure of personal data where the applicable conditions are met;
- request restriction of processing;
- receive personal data in a structured, commonly used and machine-readable format where the right to data portability applies;
- object to processing based on legitimate interests, in the circumstances provided by law;
- withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing carried out before withdrawal.
To exercise your rights, contact info@miceitaly.com.
11. Right to lodge a complaint
You have the right to lodge a complaint with the competent supervisory authority. In Italy, this is the Garante per la protezione dei dati personali.
12. Automated decision-making
MICE Italy does not use the personal data collected through the website to make decisions based solely on automated processing that produce legal effects or similarly significant effects on individuals.
13. Security
We use appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. No internet transmission or storage system can, however, be guaranteed to be completely secure.
14. Changes to this Policy
